The first two named session leaders of an accepted session will qualify for free attendance at the SPA Conference 2021 (“the Conference”). Session leaders are encouraged to attend the whole Conference given the highly interactive nature of the event.

Conditions of inclusion in programme

  1. Final acceptance of session proposal will be at the complete discretion of the Programme Chairs.

  2. By agreeing to have the session included in the programme the session leader(s) is(are) committing to participate in the shepherding process to ensure high session quality.

  3. The session leader(s) grant(s) the conference organisers the right to reproduce and distribute materials submitted for the session for the programme (online and printed). The copyright of the materials remains with the original copyright holders. Where copyright is held by a person other than the session leader(s), it is the session leader’s responsibility to ensure appropriate permission to use is secured.

  4. The Conference committee has the absolute discretion to remove a session or a particular session leader from the programme. This may happen if a session leader has not complied with these terms and conditions, or the code of conduct. If a session is removed from the programme, the session leaders will no longer be eligible for free attendance at the conference.

Use of your data


Your email address


We use the email address you provide when you register with the conference on Sessionize.com:

  1. To contact you about your account on Sessionize.com or about sessions you've submitted to the Conference via Sessionize.com, the submission process and the conference organisation.

  2. In addition, if you check the box to consent to emails, we may email you about the call for proposals, to let you know how you can get involved with the Conference (e.g. to ask you to help out with reviewing proposals or the shepharding process), and to tell you about future SPA conferences.


Your other data

  • If your session is accepted, the information you provide about the relevant session(s) (not including your email address) will be published.

  • If you submit session proposals, they appear anonymous to reviewers but the Sessionizer administrator, one of the Programme chairs, will be able to identify you and your name will be seen by the programme committee at the time of the programme meeting, after initial session selection, to ensure scheduling conflicts are avoided.

  • At the end of the annual conference cycle, we delete all feedback, reviews and session proposals from the database to the extent that we are able to as Conference administrators on the Sessionize.com site. Sessions that appeared in the conference will still appear on that year’s website, but to the extent that we are able to the information is no longer stored in the Sessionize.com database.

  • Your Sessionize.com account is managed by Sessionize.com and its data is controlled by Sessionize.com’s relevant data policies. These can be found at https://sessionize.com/privacy-policy, and you should review these before creating an account in Sessionize.com for the purposes of answering our Call for Papers.

  • If you checked the box consenting to emails SPA Conference will retain your name and email details for up to five years to the purpose of contacting you regarding future SPA Conference. At the end of five years it will be automatically deleted unless you have explicitly allowed us to retain those details for longer.


We will not sell your data or give it to anyone else.

The SPA Specialist Group is not responsible for the views or opinions expressed by individual session leaders, contributors to the the Conference  Slack Workspace, or any individuals who are not members of the Conference executive committee.


Those submitting via Sessionize.com, or using the Conference Slack Workspace or other technologies used by the Conference to provide an online environment for the functioning of the Conference are required and by using these services, within the context of preparation for and within the Conference, agree to abide by these Terms & Conditions and the Conference Code of Conduct.
